1. Write down the work that repeats

Look for something you do often: turning notes into updates, answering the same questions or preparing a first draft. Pick one task you can describe clearly.

2. Record how it works today

Note the steps, time involved and checks you make. You need a starting point to judge whether a change actually helps.

3. Choose something easy to review

A draft you can check against source material is a useful first test. Leave high consequence decisions with the responsible person.

4. Check the information before sharing it

Agree what information the tool may receive and review its account settings and terms. Use sample material while working out the setup.

5. Test before you expand

Try suitable examples, track corrections and compare time spent. Keep what works, improve what does not and train the people who will use it.
